Manage Case Instances Interface

This topic describes the tabs and fields on the Manage Case Instances interface.

Overview Tab


The Overview tab depicts a graphical view of all the available Case instances of a specific Case model. It depicts the total Case instances, model status, status or state of the Case instances based upon the filter criteria Published At details, all in the form of a bar chart for ease of understanding. You can perform limited options, which are described below.

Field

Option Description

Filter Instances by > Status

When there are a huge number of Case instances and you want to view all the Case instances based on their different statuses as a graph, then you may choose to filter the Case instances based on their status. For example, view all the Case instances whose statuses are new or completed.

Filter Instances by > State

When there are a huge number of Case instances and you want to view all the Case instances based on the state as a graph, then you may choose to filter the Case instances based on their state. For example, view all the Case instances that are in a final state.

Published At

When there are a huge number of Case instances and you want to view all the Case instances published at all the different times, then you may choose to filter the Case instances based on their published time. Select a published time to view a Case instance or select All to view a Case instance that is published at all the different times.

Detail View Tab


The Detail View tab displays all the available Case instances of a specific Case model in a tabular format. You can perform the following filter options on the Case instances:

Option Description

Filter Instances by > Status

When there are a huge number of Case instances and you want to view, monitor, or perform operations on only certain Case instances with a specific status, then you may choose to filter the Case instances based on their status. Select this option to view all the Case instances based upon their statuses. For example, view all the Case instances whose statuses are new or completed.You can select any one of the following options:

  • All: All the available Case instances appear.
  • New: A Case is said to be new when its instance is created and no activities are released. However, the initial activities and automatic follow-ups for the state entry and Case start are released. All the newly created Case instances appear.
  • In Progress: A Case is said to be in progress only when a few activities of the Case are completed and the remaining activities are waiting for completion. All the Case instances that are in progress or are being monitored appear.
  • Overdue: All the Case instances that are overdue appear.
  • Completed: A Case is said to be completed when all the activities in the Case are completed as defined. All the Case instances that are completed appear.
  • Aborted: A Case is said to be aborted when an activity fails in the Case flow, the activity is aborted, and in turn, the Case is also aborted. All the aborted Case instances appear.
  • Suspended: A Case is said to be suspended when an administrator closes the Case in the midst of execution, and all the activities that are in progress are suspended. The Case can be resumed from where it is suspended. All the suspended Case instances appear.
  • Terminated: A terminated Case is a Case that has been closed in the midst of execution and all its activities that are in progress are pulled back. All the terminated Case instances appear.

Filter Instances by > State

When there are a huge number of Case instances and you want to view, monitor, or perform operations on only certain Case instances with a specific state, then you may choose to filter the Case instances based on their state. Select this option to view all the Case instances by their state. For example, view all the Case instances that are in a final state. You can select any one of the following options:

  • All
  • Final State
  • Default State

Published At

When there are a huge number of Case instances and you want to view all the Case instances published at all the different times, then you may choose to filter the Case instances based on their published time. Select a published time to view a Case instance or select All to view a Case instance that is published at all the different times.

Detail View Tab - Table Description


The following describes the fields that appear in the table of the Detail View tab.

Field

Option Description

Status

This column displays the current business status of the Case instance.

Current Functional State

The current functional state can also be a milestone. The business status of the Case can be a part of this milestone. For example, a Case can be closed or completed, but the business status can be approved or rejected.

  • For a terminated Case, the Current Functional State displays from which state the Case has got terminated.
  • For a suspended Case, the Current Functional State displays from which state the Case has got suspended.
  • For a closed Case, the Current Functional State displays from which state the Case has come to an end.

Note:

  • The Default State is displayed for the activity that is not associated with any state, unless a specific value for the same is provided in the related model.
  • The Case Identifier columns are always listed from the third column in the tabular grid. Even if you move or reorder these columns in the grid, the order of these columns is restored to their original position after doing any operation. This behavior is applicable only for the columns that are related to the Case Identifiers.

Started On

Displays the start day, date, and time at which the Case instance was started. For example, Tuesday, November 11, 2008 3:48:33 PM.

Started By

Displays the name of the Case worker who started the Case instance. For example, Luca Raggi.

Acted On

Displays the day, date, and time at which the Case instance was acted upon. For example, Tuesday, November 11, 2008 3:48:33 PM.

Acted By

Displays the name of the Case worker who acted upon the Case instance. For example, Luca Raggi.

Due On

Displays the day, date, and time at which the Case instance is due to be closed. For example, Monday, November 14, 2008 3:48:33 PM.
